Mental Reps: For Athletes ("Mental Reps," "we," "our," or "us") respects your privacy. This Privacy Policy explains what information we collect, how we use and protect it, when limited information may be shared, and the choices available to you when you use the Mental Reps mobile application, website, and related services (collectively, the "Service").

1. Information We Collect

Account and Profile Information

When you create or use an account, we may collect information such as:

  • Name
  • Email address
  • Sport
  • Account role, such as Athlete or Coach
  • Other basic profile information you choose to provide

Athlete Content

Mental Reps allows athletes to enter information related to their development and performance. Depending on the features you use, this may include:

  • Focus entries
  • Cues
  • Reviews and reflections
  • Adjustments or takeaways
  • Goals
  • Standards
  • Vision entries
  • Goal check-ins
  • Gain an Edge responses
  • Other information you voluntarily enter into the Service

We treat this content as private athlete content except where a feature clearly indicates otherwise.

Team Information

If you join or create a team, we may process information such as:

  • Team name
  • Sport
  • Season
  • Team membership
  • Coach and athlete relationships
  • Team join and invitation information
  • Participation or completion status

Coach Content

Coaches may provide information to athletes through team features, including:

  • Team Focuses
  • Individual Coach Suggestions
  • Other coach-authored guidance made available through supported team features

Usage and Technical Information

We may collect limited technical and usage information necessary to operate, secure, maintain, and improve Mental Reps, such as:

  • App interactions and feature usage
  • Completion activity
  • Streak and activity statistics
  • App version
  • Device or operating-system information
  • Crash and diagnostic information
  • General performance and reliability information

We seek to avoid including private athlete-written content in crash reports and diagnostic logs.

Communications

If you contact us, submit feedback, request support, or otherwise communicate with us, we may process the information you provide so we can respond to your request.

2. How We Use Information

We may use information collected through Mental Reps to:

  • Create and maintain user accounts
  • Provide Mental Reps features and functionality
  • Store and display your progress and history
  • Provide Focus, Review, Goals, and other athlete-development features
  • Operate Coach and Team features
  • Allow athletes to join and leave teams
  • Allow coaches to provide Team Focuses and individual Coach Suggestions
  • Display appropriate participation or completion information to coaches
  • Send account, security, team, or other service-related communications
  • Respond to feedback and support requests
  • Maintain app security and prevent unauthorized access
  • Diagnose crashes, errors, and technical problems
  • Improve the reliability, usability, and performance of Mental Reps
  • Comply with applicable legal obligations

3. Athlete Privacy and Coach Access

Mental Reps is designed to maintain a boundary between an athlete's private development content and information needed for team features.

Joining a team does not give a coach general access to an athlete's private Mental Reps content.

Depending on the features available in the Service, a coach may be able to see limited team-related information such as:

  • Athlete name
  • Team membership
  • Whether an athlete has completed applicable Mental Reps activity
  • Information the coach personally created or provided, such as a Coach Suggestion

Coaches may provide Team Focuses and individual Coach Suggestions that are shown to athletes when they set their Focus. Coach Suggestions may be specific to a particular day or session.

Unless Mental Reps clearly provides a feature that allows an athlete to intentionally share specific information, coaches are not provided access through Coach Mode to private athlete-authored content such as:

  • Personal Focus text
  • Cues
  • Reviews or reflections
  • Adjustments or takeaways
  • Goals
  • Standards
  • Vision entries
  • Gain an Edge responses
  • Goal check-in reflections
  • Other private athlete-written content

A Coach Suggestion does not automatically become an athlete's personal Focus. Athletes maintain control over the private content they enter into their own Mental Reps.

4. Team Membership and Invitations

Athletes may join teams through supported invitation methods, such as team codes or invitation links.

Team invitation pages may display limited team information so an athlete can confirm that they are joining the intended team. This may include information such as:

  • Team name
  • Sport
  • Season

Team invitation functionality is not intended to expose team rosters, private athlete content, or other private team information publicly.

Leaving a team or being removed from a team ends the athlete's access to that team's applicable team features. Leaving a team does not necessarily delete the athlete's personal Mental Reps history.

5. How We Share Information

We do not sell your personal information.

We may provide limited information to service providers that help us operate Mental Reps. These providers may assist with functions such as:

  • Cloud infrastructure and database services
  • Authentication
  • Transactional email delivery
  • Crash reporting and application diagnostics
  • App distribution and related platform services

These providers process information as necessary to provide services to us and are subject to their own contractual, security, and privacy obligations.

We may also disclose information when reasonably necessary to:

  • Comply with applicable law, regulation, legal process, or governmental request
  • Protect the security and integrity of Mental Reps
  • Investigate fraud, abuse, or security incidents
  • Protect the rights, property, or safety of Mental Reps, our users, or others

If Mental Reps or its assets are involved in a merger, acquisition, financing, reorganization, or sale, information may be transferred as part of that transaction subject to applicable law.

6. Data Storage and Security

We use technical and organizational safeguards intended to protect information against unauthorized access, alteration, disclosure, or destruction.

These measures may include authentication controls, database access controls, encrypted network connections, restricted server-side credentials, and other security practices appropriate to the Service.

However, no internet-connected service, transmission method, or storage system can be guaranteed to be completely secure. We therefore cannot guarantee absolute security.

Users are responsible for maintaining the confidentiality of their account credentials and should notify us if they believe their account has been accessed without authorization.

7. Local Device Data

Mental Reps may store limited information locally on your device to support application functionality, preferences, session management, and performance.

We seek to minimize persistent local storage of private athlete-written content. Account-specific cached information may be scoped to the authenticated account and cleared or invalidated when appropriate, including during sign-out or account deletion.

Some authentication information may be managed locally by authentication or operating-system services to support secure session restoration.

8. Data Retention

We retain information for as long as reasonably necessary to:

  • Provide the Service
  • Maintain your account
  • Preserve functionality you request
  • Meet legitimate operational and security needs
  • Comply with applicable legal obligations
  • Resolve disputes and enforce agreements

Different categories of information may be retained for different periods depending on their purpose.

When an account is deleted, associated personal information is deleted or otherwise handled in accordance with our account-deletion process, subject to information we may be required or permitted to retain for legal, security, fraud-prevention, backup, or other legitimate purposes.

Leaving a team is separate from deleting your Mental Reps account. An athlete who leaves a team may retain their personal Mental Reps account and personal history.

9. Account Deletion and Your Choices

Depending on your account and applicable law, you may have options to:

  • Access or review information associated with your account
  • Update certain account or profile information
  • Leave a team
  • Disable optional notifications
  • Request or initiate deletion of your account
  • Contact us with privacy questions or requests

Account deletion may permanently remove information associated with your account and may not be reversible.

Additional privacy rights may apply depending on where you live.

10. Children's and Teen Privacy

Mental Reps is not intended for children under 13 years of age, and we do not knowingly collect personal information from children under 13.

Mental Reps may be used by teenage athletes age 13 and older, including athletes participating in school, club, or other organized sports programs.

If we learn that we have collected personal information from a child under 13, we will take appropriate steps to delete the information and address the associated account.

A parent or guardian who believes that a child under 13 has provided personal information to Mental Reps may contact us using the information provided in the Contact Us section below.

11. School, Club, and Team Use

Mental Reps may be used in connection with school, club, or other organized athletic programs.

The availability of Coach Mode does not give a coach unrestricted access to athlete accounts. Coach access is limited according to the functionality and permissions provided by Mental Reps.

Organizations using Mental Reps are responsible for determining whether their use of the Service complies with policies, consent requirements, and legal obligations applicable to their organization and athletes.

12. Analytics and Crash Reporting

We may use analytics and crash-reporting technologies to understand general application usage, diagnose technical problems, and improve performance and reliability.

We seek to limit diagnostic information to what is reasonably necessary for these purposes and to avoid intentionally including private athlete-written content, passwords, authentication tokens, or other credentials in analytics or crash reports.

13. Communications

We may send service-related communications when necessary to operate your account or requested features, including account, security, team, and other service-related or transactional messages.

Where optional communications or notifications are offered, you may be able to disable them through the app, your device settings, or other available controls.

14. Third-Party Services

Mental Reps relies on third-party technology and infrastructure providers to operate portions of the Service.

Those services may process limited information on our behalf as necessary to provide their functionality. Their handling of information may also be governed by their own privacy and security terms.

Mental Reps may also contain links to third-party websites or services. We are not responsible for the privacy practices of services that we do not control.

15. Changes to This Privacy Policy

We may update this Privacy Policy as Mental Reps evolves, our practices change, or legal requirements change.

When we make changes, we will update the "Last Updated" date at the top of this policy. Where required or appropriate, we may provide additional notice of material changes.

We encourage users to review this Privacy Policy periodically.
